Annual Meeting
The Club’s annual meeting is held on the third Sunday in August—it’s the one official occasion when we meet as a community, but the meeting cannot begin without a quorum of 5 percent of the active membership in good standing present (and may be adjourned by a vote of the majority of the active members in good standing present). Only active members in good standing are permitted to vote, but others may be permitted to participate by the President or Board of Trustees subject to such reasonable restriction as may be imposed.
The annual meeting offers important opportunities for all of our residents to learn about our community. One traditional highlight of the meeting is when the board president provides a “year in review” report. In addition, our treasurer offers a fiscal summary. Reports by each committee chairperson along with the minutes of the previous year’s annual meeting are published in the Newsette at least seven days prior to the annual meeting.
Votes are taken on decisions that require membership approval, elections to fill vacancies on our Voting Board due to expired terms are also held at this time, and an open mic forum gives members who wish to share their concerns an opportunity to ask questions and voice comments.
At the annual meeting, the order of business is conducted as outlined in Club’s By-Laws:
1. Approval of the minutes of previous annual meeting
2. Reports of officers and board of trustees
3. New business
4. Amendments to By-Laws
5. Privilege of floor to membership
6. Election of officers and trustees
